New Idea: Membership Roundtables

I am thinking that we could promote "membership roundtables" through the counties. We wouldn’t need anything fancy -- field reps could just put out a call (email), and members could sign up. Or we could have a flier made. Each county would know how to reach its members best.

We could target these roundtables to membership chairs and local leaders.

Although there may not always be an agenda at these events, there should be a topic for discussion. Members need to know ahead of time why they are attending. Some roundtables should have an agenda depending on the structure of the meeting.

. Here's what I am thinking:

-- Dinner at 4:30; roundtable being at 5:30. This could be held at the county office, regional UniServ office, or some other venue (restaurant, etc.). Counties could apply for the 65/35 split as this is a training meeting.

-- Update on resources and materials (new member tools, new member welcome kit). Update on issues discussed by the Membership Committee.

-- Description of the membership chair forum on the NJEA Message Board (maybe show participants this resource. A couple Friday nights ago Jim posted a lot of resources up there). We should encourage local leaders to use this venue to continue the discussion following the meeting.

-- A roundtable discussion then ensues. Participants discuss membership engagement activities that are working in their locals, things that are not working, and new ideas. Participants work together to solve common issues. It would be nice if participants partnered on events or worked together to create resources.

-- Encourage participants to think of the roundtable as a working committee. We could set the next roundtable date and select topics to explore next time.

Hey everyone,
I think this is a good idea, however, I'm not sure it should only be membership chairs and leaders (meaning the president). If we open it up to executive board members of the locals maybe we would get a better selection of ideas. I always look at the executive board as being the the back bone of the local's association. It might be easier for others on the board to attend the meeting.

Regional offices and county associations: host an Engaging Minds, Engaging Members Roundtable!

How are your local associations organizing and engaging members? What new strategies are they using to make their members feel welcome and valued? What challenges are your local leaders facing when it comes to involving their members in association activities? How are your members overcoming these challenges?

Wouldn’t it be nice if your local local leaders attended a meeting or two each year that allowed them the opportunity to discuss the answers to these questions?

Consider hosting an Engaging Minds, Engaging Members Roundtable! This would provide your local leaders with a forum to share their challenges and successes when organizing and engaging members.

Here are some tips to hosting a successful roundtable:

1. Have an agenda or a topic for discussion. Consider the time of year and what’s going on in locals. For example, late spring / early fall roundtables could focus on new member welcome events, etc. Roundtables in the winter or early spring could focus on end of the year activities, etc.
2. Share the NJEA Member to Member Message Board: www.njea.org/messageboard. Over 70 ideas to reach all members are now posted in the membership chairs section! Encourage participants to post their stories, ideas, and suggestions.
3. Offer updates on any new NJEA resources and materials (new member tools, new member welcome kit, etc.).
4. At the meeting, encourage your participants to work together. Local leaders will be motivated after hearing the success stories of others, and allowing leaders time to share their challenges will lead to helpful feedback from participants.
5. Consider encouraging participants to think of the roundtable as a working committee. Future meeting dates and topics to be explored next time could be selected as the roundtable comes to a close.
6. Consider inviting NJEA staff to the roundtable.

Here are some tips to promoting your Engaging Minds, Engaging Members Roundtable:

Email, snail mail, call, and/or text your local presidents, vice presidents, membership chairs, and any other local exec board members you think would benefit. The promotional material could read:

Attend our first Engaging Minds, Engaging Members Roundtable!

Come and hear about the new strategies and fun activities that locals are using to organize and engage their members. Are you facing challenges when it comes to exciting your members about association activities? This roundtable will be the place to share your challenges and benefit from helpful feedback.
Hear what NJEA is doing to support your efforts.

Next, promote any NJEA staff who will be present to add to the discussion.

Finally, include your date, time, location, and meal/refreshment offerings.

Have fun hosting this new roundtable concept! :mrgreen:

It is important to add that at the outset of your roundtable, the facilitator should encourage participants to be honest. Let your participants know that the roundtable is a safe place for them to voice their concerns. An atmosphere of trust will go a long way towards achieving the success that collaboration can bring. :mrgreen:

Last night the Membership Committee agreed that the timing of the Roundtable should be carefully considered. At last night's meeting, it was suggested that these Roundtables occur towards the end of the school year as that time might help new Membership Chairs best. Membership Chairs are voted on in May and usually take over in August. So, at the end of the school year, Membership Chairs are looking to gain the knowledge and strategies that these Roundtables can provide. :mrgreen:
